General terms and conditions

Effective 2 November 2026 · Version 2026-11-02

English translation. Read the Bulgarian original

for use of the plovdiv.run website and participation in the races organised through it

These general terms and conditions govern the relationship between VIVENTA GROUP OOD, company registration number 208948386, with its registered office and business address at 4A Anton Chekhov Square, apartment 34, Plovdiv, correspondence address: 4A Anton Chekhov Square, apartment 34, Plovdiv, email: support@plovdiv.run (the ‘Organiser’), and people who use the plovdiv.run website (the ‘website’) or participate in races organised by the Organiser (the ‘races’).

For each race, the Organiser publishes event rules on the website. These state the confirmed date, location, distances and courses, fees and what they include, registration and withdrawal deadlines, minimum age and other announced conditions. Start times, cutoff times, race pack collection and insurance terms may be announced later; until they are determined, this is explicitly stated before registration. While entries are open, participants may register before these details are announced. If details announced later materially affect a participant’s ability to take part, they may withdraw within 14 days of being notified and receive a full refund of the fee paid, including where the general withdrawal deadline has already passed. The fee is refunded within 14 days using the original payment method. The event rules form an integral part of these general terms and conditions and take precedence on matters they specifically regulate for that race.

In these general terms and conditions, a ‘user’ is anyone who uses the website, a ‘participant’ is someone registered to take part in a race, and a ‘distance’ is any of the runs within a race event.

Access to the website

Information on the website is available without registration. A user account is required to register for a race.

The Organiser takes care to keep information on the website accurate and up to date and to keep the website operating without interruption, but does not guarantee continuous or unobstructed access. The Organiser is not responsible for interruptions caused by third parties, the user’s technical equipment or internet connection, or temporary unavailability due to maintenance.

User account

An individual aged 14 or over may create an account using a one-time code sent to their email address or a Google account. Each person may have only one account. A parent or legal guardian may use their own account to register their child aged under 14.

Users must provide accurate and complete details and update them when they change. They must protect access to their email and Google account and must not share the codes they receive. Users are responsible for actions carried out through their account, unless the account was used without their knowledge and they notified the Organiser immediately after becoming aware of this.

A legal entity may create a corporate account through its representative to register a team.

Users may close their account at any time through account settings or by emailing support@plovdiv.run. Closure does not affect registrations already made for races. After closure, data is retained for the periods specified in the Privacy Policy.

The Organiser may suspend or close an account if the user has provided false details, created more than one account, or uses the website in breach of these general terms and conditions or the law, notifying the user by email.

Rules for using the website

Users must not impersonate another person or enter another person’s details without their consent, compromise the security or normal operation of the website, including through automated data extraction, or publish or send through the website content that is unlawful or infringes another person’s rights.

Card payments take place on the payment service provider’s page. The Organiser does not receive or store card details.

The website may contain links to third-party websites. The Organiser is not responsible for their content or terms of use.

The website’s content — text, photographs, logos and design — is protected by copyright and trademark rights belonging to the Organiser or its partners. It may be used only for personal, non-commercial purposes unless the rights holder gives written consent.

Registration

Participants register for a race online through their account within the deadline specified in the event rules. By registering, the participant accepts these general terms and conditions and the event rules and, by selecting the relevant checkbox on the registration form, declares that their health allows them to take part in the selected distance and that they accept the associated risks, in accordance with the health and risk declaration published on the website. All required details and applicable personal declarations must be completed before payment. Payment is the final step of registration.

There is no lower age limit for participation. Every runner under 18 requires consent from a parent or legal representative. A participant aged 14–17 personally accepts the terms and health declaration through their own account. For a child under 14, their parent or legal representative does this through their own account. The signed parent or guardian consent declaration must be presented when collecting a race pack for every runner under 18.

Registration is complete and the participation contract is concluded when the participant receives a confirmation email after paying the fee. The email contains these general terms and conditions and the event rules.

Participants are responsible for the accuracy of the details provided during registration. The Organiser does not verify these details but may cancel a registration if it learns that they are false, notifying the participant by email. In that case, the fee paid is refunded within 14 days.

Participants may withdraw within the deadline specified in the event rules and receive a refund as described below. The 14-day right of withdrawal under the Bulgarian Consumer Protection Act does not apply because participation is a service related to leisure activities provided on a specific date.

Team registration

A legal entity registers a team through its representative, providing all required details for every active and reserve participant. The legal entity is responsible for ensuring that the details it provides are accurate, that participants agree to be registered and that they have been informed about the processing of their personal data. Before payment, each participant aged 14 or over opens a personal link, verifies their email, reviews their details and personally accepts the general terms and conditions, event rules and health and risk declaration. A parent or legal representative does this for a child aged under 14. Payment becomes available once the details and applicable declarations for all included participants have been completed. The fee is paid by the legal entity, to which an invoice is issued.

Fees and payment

The fees and what they include are stated in the event rules. They are final prices in euros, including VAT where applicable. Payment is made by bank card through the payment service provider or by bank transfer by agreement with the Organiser. An invoice is issued on request to support@plovdiv.run.

Race number and race pack

Race numbers are personal and may not be passed to another person except when a registration is transferred. They must be worn on the front, visibly and without being covered. A participant without a visible race number is not included in the results.

Race packs are collected at the location and times specified in the event rules, either personally or by a third party presenting the code from the confirmation email. Uncollected packs are not shipped and their fee is not refunded. When collecting a pack for a minor, the signed parent or legal guardian consent declaration must be presented.

Withdrawal and registration changes

Participants may withdraw by emailing support@plovdiv.run within the deadline specified in the event rules. The Organiser refunds the fee within 14 days using the original payment method. No refund is given for later withdrawal or failure to attend.

Until the withdrawal deadline specified in the event rules, participants may email support@plovdiv.run to change distance or transfer their registration to someone else. The new participant must register and make the health and risk declaration. When changing to a more expensive distance, the difference must be paid. When changing to a cheaper distance, the difference is refunded in full, without an administration fee, within 14 days using the original payment method.

Conduct during the race

Participants must familiarise themselves with the course and information sent to them by email and assess their abilities in relation to the selected distance.

Participants must stay on the marked course and follow instructions from race officials, volunteers, police and the medical team. Companions without a race number are not permitted unless the event rules provide otherwise. Waste must be disposed of only in designated places.

Grounds for disqualification include taking a shortcut, using another person’s race number, using a vehicle or assistance from others outside aid stations, and failing to follow the course rules or instructions from race officials, volunteers, police and the medical team.

The medical team may remove a participant from the race if their health is at risk. Participants agree to receive medical assistance if necessary.

After the cutoff time, the course reopens to traffic. A participant who has not finished within the cutoff time is not included in the results and may continue only as a pedestrian, complying with road traffic rules.

Results

Results are determined using electronic timing data and published on the website. Objections must be sent to support@plovdiv.run within 48 hours of publication. If a participant is found, through the procedure prescribed by law, to have breached anti-doping rules, their result is cancelled and any prize received must be returned.

Liability

The Organiser provides a medical team and aid stations and undertakes to insure participants against accidents for the duration of the race before it takes place. As at 30 October 2026, the insurer has not been selected and the insured sums and insurance terms have yet to be published. Where insurance terms announced later materially affect participation, the participant has the right to withdraw and receive a full refund within 14 days of notification, including after the general withdrawal deadline. Treatment and repatriation costs not covered by insurance are borne by the participant.

The Organiser is not responsible for harm caused by a participant’s health condition, failure to comply with these general terms and conditions or the event rules, or actions of third parties who are not its employees or contractors.

Changes, postponement and cancellation of a race

The Organiser may change the course, start time or race date when required by a competent authority, for safety reasons or due to force majeure, notifying participants by email and on the website. If the date changes, participants have the same rights as when a race is postponed due to force majeure.

If a race is cancelled or postponed due to force majeure, participants must choose within 14 days of notification between taking part on the new date, transferring their registration to the next edition, or receiving a refund. If no choice is made within that period, the registration remains valid for the new date. If cancellation is due to a reason for which the Organiser is responsible, the fee is refunded in full. Refunds are made within 14 days.

Photography and video

Photographs and videos are taken during races and may be published on the website and the Organiser’s social media accounts. Material in which a participant is the main subject is used in advertising only with that participant’s consent.

Final provisions

Users’ and participants’ personal data is processed in accordance with the Privacy Policy published on the website.

Questions and complaints should be sent to support@plovdiv.run. The Organiser replies within 14 days. Disputes not resolved by mutual agreement are decided by the competent Bulgarian court under Bulgarian law. An individual participant may complain to the Bulgarian Commission for Consumer Protection and request out-of-court dispute resolution before one of its conciliation commissions (www.kzp.bg).

The Organiser may amend these general terms and conditions by publishing the new text on the website with the date of the change and notifying account holders by email. For participants already registered, changes apply only if they benefit the participant or are required by law or for safety reasons. In other cases, the participant may withdraw within 14 days of notification and receive a full refund.

The invalidity of an individual provision does not affect the remaining provisions.

These general terms and conditions take effect on 30 October 2026.

Public participant list

If you choose (for a child, if their parent or legal guardian chooses), the public participant list shows two names, country and club only after confirmed payment. This is optional and does not affect participation. You can withdraw your choice in your account at any time; your details will then stop appearing in the public list. Paid entry totals by distance are shown without requiring publication of names.

Card payments and refunds

Card payments are in euros (EUR) through a UniCredit Bulbank AD virtual POS terminal and BORICA’s secure payment page. Visa and Mastercard are accepted. Card details are entered only on BORICA’s payment page; the Organiser does not receive or store the full card number, expiry date or security code.

Before starting a card payment, the purchaser must explicitly select separate, initially unchecked boxes to accept the General terms and conditions and acknowledge the Privacy Policy. Payment cannot start without these confirmations.

To withdraw from a race by 31 March 2027 at 23:59:59 Sofia time, email support@plovdiv.run. The other grounds for a refund in these general terms and the event rules also apply. Any amount paid by card is refunded within 14 days only as a credit to the same card used for the original payment. Refunds are not made to another card, another bank account or in cash.

For a card payment question or dispute, email support@plovdiv.run with the order reference, payment date and amount. Do not send a card number or security code. The Organiser replies within 14 days and, where necessary, checks the case with the acquiring bank and BORICA. You may also contact your card issuer under its transaction dispute procedure. For an unresolved consumer dispute, you may complain to the Bulgarian Commission for Consumer Protection (www.kzp.bg) and request conciliation. The Commission for Personal Data Protection (www.cpdp.bg) is the competent data protection authority.
